Location(s): United States of America City/Cities: Remote Job Posting End Date: March 10, 2023 Job Description Summary: Industry Affairs Project Manager, coordinates events and programs related to Industry Partnerships (Conferences, Trade Shows, etc). Activities include planning, organizing, and managing resources/processes to achieve project objectives within scope, time, quality, and within budget.
They serve as the internal and external point of contact for clients, partners, and stakeholders for project activity. PM identifies and communicates critical information to both internal and external project stakeholders, facilitates and ensures follow up on issues, prioritizes and manages project activities and gauges readiness. Scope:
Oversee various projects and executions of a moderately complex nature spanning Industry Relations, Trade Communications, Business Development and other Customer Leadership functions and activities.
Ability to organize and prioritize requests coming from multiple stakeholders, while managing output of deliverables and timelines
Develop detailed work plans, schedules, and logistics to meet deadlines and maintain appropriate service.
Coordinate with stakeholders and ensure key details and deliverables are communicated.
Identify needed resources, manage accordingly and within budget.
Work autonomously, making decisions with limited managerial oversight.
Work Focus
Event scheduling, calendar management and coordination with Industry Affairs leaders and Customer Team Leaders
Assist with development and communication of events in collaboration with team.
Assist with on-site logistics, running ‘back of house,’ and overall readiness.
Manage logistics for products and equipment needed for activities, liaising between venue and exhibitor companies, shipping vendors, bottling facilities, distribution centers, etc.
Sourcing and procuring items for events, meetings, and customer meetings such as product samples, coolers, gifts, etc., shipping to multiple locations, etc.
Manage meeting executions (i.e., technology and content compilation)
What You’ll Do for Us

Collaborates with customers, vendors, agencies and maintain internal and external relationships.
Communicates with contacts across the customer & internal teams.

Administer programs, projects and or processes, including working with and providing direction to project manager(s)/contractor(s).
Create and handle presentations, complex reports, confidential correspondence, and files.
Process purchase orders, expense reports and invoices.
Budget tracking
Maintain various industry database systems and lists.
Prompt response to incoming/outgoing phone and email communications.
Qualification & Requirements
Experience coordinating projects and/or large-scale events.
Expert level written and verbal communication skills,
Builds Collaborative working relationships with all stakeholders.
Decision-making ability and attention to detail
Proven ability to be a resourceful problem-solver.
Excellent time management and organizational skills
Complex travel & event scheduling for senior leaders
Experience successfully creating and/or modifying processes.
Demonstrated personal leadership skills and influencing ability.
Experience in a professional services, sales, or marketing environment
3+ years of experience in a high-level support role preferred.
Intermediate knowledge of MS Office, including Word, Excel, PowerPoint, Teams, and Outlook
Bachelor’s degree or equivalent experience.
